Immigration Document Specialist
GENERAL DESCRIPTION:
An Immigration Document Specialist manages preparation, verification and lodgement of immigration paperwork for clients of an immigration law firm.
The role focuses on accurate document collection and assembly, quality checking against Department requirements, maintaining secure client files, and supporting registered migration agents and lawyers so that applications are complete and lodgements meet procedural rules.
KEY SKILLS AND COMPETENCE:
- Strong attention to detail and high level of accuracy in document review.
- Working knowledge of Australian visa application pathways and the types of evidence commonly required.
- Practical experience with ImmiAccount or similar e-lodgement platforms and legal case management software.
- Excellent written and verbal communication tailored for clients from diverse backgrounds.
- Good organisational skills and ability to manage multiple matters and deadlines.
- IT literacy: MS Office, PDF tools, secure file transfer, and basic database skills.
- Understanding of privacy and confidentiality obligations and secure handling of personal data.
- Cultural sensitivity and the ability to request sensitive documents respectfully.
WORK EXPERIENCE REQUIREMENTS:
- 1 to 2 years’ experience in an immigration law firm, migration consultancy, or related legal/paralegal role; senior positions may require 5+ years.
- Proven experience preparing visa application bundles and working with ImmiAccount or similar systems.
- Experience working under or with a registered migration agent or solicitor is strongly preferred. Note that providing immigration assistance is regulated in Australia.
- Experience handling sensitive personal documents, certified translations and cross-border evidence preferred.
EDUCATION REQUIREMENTS:
- Tertiary qualification in paralegal studies, law, public administration or a related field (Certificate IV, Diploma or Bachelor level depending on role seniority).
- Formal paralegal or legal studies qualifications will be an advantage for roles that require drafting or substantive legal support.
- Training or certificates in document verification, e-lodgement tools, or immigration administration are desirable.
